Summary:
The Program Assistant I position is the point of first contact for the agency.
He/she is responsible for reception duties, for explaining services, distributing program materials, HMIS data completeness, and for other clerical, administrative, data entry and other tasks as required.

Responsibilities:
Answering busy telephones Explaining agency programs and assisting clients in determining eligibility Screening and forwarding calls, mail, and emails as appropriate Taking and forwarding messages promptly Providing excellent customer service, including greeting, assessing, and assisting clients appropriately Data Entry and tracking of donations, funder's checks, calls and services Checking intake and application forms for accuracy and completeness Creating, updating and maintaining client files and housing folders Assisting counselors and case managers with documentation and procedural issues Assisting in outreach and educational activities Running errands Maintaining a clean and organized waiting area Maintaining a clean and organized conference room Greeting clients, landlords, and interested prospects with a smile and developing a positive first impression Conducting over-the-phone CARS assessments and inputting data into HMIS Reviewing all HRC client cases for data completeness in HMIS and Launchpad, alerting the Program Manager and staff of any missing or out-of-date data such as move in date, service transactions, and case notes Multi-tasking two or more of these responsibilities at one time Other duties as assigned
Qualifications:
A minimum of two years of professional, administrative experience preferred Proficient written and verbal command of both the English and Spanish language, including spelling, grammar, and punctuation Professional customer service skills and phone etiquette Proficiency with Microsoft WORD and EXCEL for Windows A basic knowledge of database systems Ability to work effectively on a team 50 WPM typing Excellent organizational and time management skills Email proficiency Education, Experience, and Certification Requirements:
Two years of administrative experience Use of own vehicle with current insurance Must have no criminal record:
background and credit checks will be conducted.
Experience in working with culturally diverse, chronically homeless and medically needy individuals is preferred Knowledge of economic, educational and social problems related to the homeless community and referral sources is desirable Must be sensitive to cultural differences within the agency and community Certificates, Licenses, Registrations, Diplomas Valid California Driver's License, and a satisfactory driving record Computer Skills Must be PC-proficient with common office applications including MS Excel, MS Word, PowerPoint, gmail, and standard office equipment Must be or quickly become proficient in program databases (CARS) and other software as needed Physical and Mental Characteristics Physical, mental and emotional stamina to perform the duties and responsibilities of the position; Manual dexterity sufficient to write, use telephone and business machines (computer, fax, calculator); Vision sufficient to reach printed materials; Hearing sufficient to conduct in person and telephone conversations; Speaking ability in an understandable voice with sufficient volume to be heard at normal conversational distance and on the telephone; Physical agility to push/pull, squat, twist, turn, bend, stoop and to reach overhead; Physical mobility sufficient to move about the work environment, work in small physical area; in low to moderate noise area, travel distances from site to site, drive an automobile; respond to emergency situations; Physical strength sufficient to lift 20 pounds; Physical stamina sufficient to sit for prolonged periods of time; Mental acuity to collect and interpret data; evaluate; reason; define problems; establish facts; draw valid conclusions; make valid judgments; handle interpersonal conflicts and work with frequent interruptions.
Hours of Work:
40 hours per week M-F; with occasional weekend and evening hours as scheduled, or needed to meet needs of clients, tenants, and landlords/property managers.

Varies upon employee's experience and skill-set.
