Summary:
The Administrative Assistant provides comprehensive support to the organization by managing administrative tasks, coordinating schedules, and maintaining records.
They are responsible for ensuring efficient office operations and facilitating effective communication within the team.
Job Duties:
Maintain office space and equipment.
Coordinate maintenance as needed.
Manage office calendar.
Schedule and maintain important dates.
Oversee various forms (walk-in traffic, phones, mail, internet accounts) of office communication.
Assist with bilingual communication when needed.
Maintain the filing system.
Maintain inventory of office supplies and program materials.
Assist with the preparation and collection of program materials.
Assist with student recruitment and enrollment.
Assist with student attendance follow-up if needed.
Assist with digital learning platform access and troubleshooting when needed.
Provide clerical and administrative support to JIM Administrative team.
Deliver honest and professional communication with all individuals with whom they interact.
Consistently contribute to a safe and positive work environment.
Maintain regular attendance and timeliness.
Perform other duties as assigned or otherwise identified.
Knowledge, Skills, and
Qualifications:
? Associates degree in a related field ? 2 to 5 years of experience in an administrative role ? Knowledge of office management procedures ? Bilingual preferred Typical Working Environment:
Work is performed from the assigned location only.
Moderate noise levels from small equipment, collaborative dialogue, phones ringing, groups of people, etc.
This position works in close proximity to other people.
